Job Overview: We are seeking an experienced and highly organized Office Administrator/Operations Director to oversee the daily in-office operations of our home care agency in Roseland, NJ. This role is crucial in ensuring seamless operations, from recruiting and onboarding caregivers to managing scheduling and client inquiries. The ideal candidate is a proactive problem solver with exceptional multitasking abilities, customer service skills, and attention to detail.
Key Responsibilities:
- Oversee all office operations to ensure efficiency and compliance with company policies.
- Manage the recruiting, hiring, and onboarding process for caregivers.
- Develop and maintain caregiver schedules to meet client needs.
- Handle phone inquiries and schedule in-home assessments for potential clients.
- Provide excellent customer service to clients, families, and caregivers.
- Maintain accurate records of caregivers, client interactions, and scheduling.
- Identify opportunities for process improvements to enhance office efficiency.
- Assist with compliance and general administrative tasks.
- As the business grows, recruit and oversee a Staffing Coordinator.
Qualifications:
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
- Strong computer literacy and technology skills.
- Excellent communication and customer service skills.
- Problem-solving mindset with adaptability in a fast-paced environment.
- Attention to detail and ability to manage confidential information.
- Prior experience in home care, healthcare, or staffing preferred but not required.
- Proficiency in Microsoft Office.
- Experience with scheduling is a plus.
- Experience recruiting, managing or supervising staff is a plus.
