We are seeking a detail-oriented and proactive
Assistant Commercial Property Manager / Lease Administrator to support our dynamic Property Management and Occupier Services teams. This hybrid role combines key responsibilities across both commercial property operations and lease administration, ensuring the smooth management of our commercial real estate portfolio. The ideal candidate thrives in a fast-paced environment, excels at multitasking, and demonstrates a strong commitment to client service.
Key Responsibilities:
Property Management Support
- Assist the Property Manager with day-to-day operations for a portfolio of commercial properties, including office, retail, and industrial assets.
- Coordinate vendor services to ensure high standards of property performance.
- Assembling monthly financial reports.
- Assist with tenant onboarding including setting up commercial Café, collecting tenant COIs and other necessary information.
- Assist with tenant welcome packet
- Complete monthly tenant bill backs
- Assist with accounts receivable - managing PM notes and uploading into SharePoint for ownership.
- Abstract new tenant leases and renewals into Yardi
Lease Administration
Property Management
- Abstract new leases, amendments, and other lease-related documents Yardi property management system.
Occupier Services
- Maintain and update lease records, ensuring accuracy of critical lease data, including expirations, renewals, options, and rent escalations.
- Track lease compliance and generate notifications for key lease events, such as renewals, expirations, and options.
- Collaborate with property accounting to ensure accurate billing, reconciliations, and rent collections per lease terms.
- Support the preparation of CAM (Common Area Maintenance) reconciliations and operating expense pass-throughs.
- Assist in abstracting new leases, amendments, and other lease-related documents into property management systems.
Qualifications:
- 2+ years of experience in commercial property management or lease administration (preferred).
- Knowledge of commercial real estate lease terms, budgeting, and CAM reconciliations.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent communication and interpersonal skills for tenant and vendor coordination.
- Proficiency in property management software (e.g., Yardi, MRI) and Microsoft Office Suite (Excel, Word, Outlook).
Preferred Skills:
- Familiarity with real estate accounting principles.
- Ability to read and interpret commercial lease agreements.
- Strong problem-solving skills and attention to detail
