Primary Function of Position: This position is an integral part of the administrative support function, and provides administrative support to the Digital Leadership Team (DLT), and Manager Administration. The successful candidate must be proactive, resourceful, and efficient while always displaying a high level of professionalism and confidentiality.
Essential Job Duties
- Provide professional administrative support to the Digital Leadership Team (assist with travel, calendar planning, meeting logistics, expense reimbursement, etc.).

Meet weekly with leaders to discuss support needs.

Main point of contact for scheduling time with assigned leaders.

Assist with presentations, agendas and reports.

Maintain databases, spreadsheets, project trackers, etc. to be current and accurate (e.g., Facilities, purchasing, and IT requests, employee birthdays & work anniversaries etc.)

Coordinate with building facilities staff as needed to support moves, events, special requests.

Manage supply inventory including refreshments to ensure availability of needed supplies within budget.

Prepare monthly reconciliation of P-card purchases. Learn and understand Intuitive’s purchasing and T&E policies to stay within policy.

Participate in projects and other special assignments, plan office social events and catering services.

Analyze and determine approach for routine items. Identify opportunities for improvement and efficiency of processes to management and drive to closure.

Maintain digital leadership planning calendar.

Support design & implementation of the Digital team intranet / Leo pages.

Represent the department in cross-functional projects

Required Skills and Experience

A minimum of 3 years of administrative support. Experience supporting senior leaders is helpful.

Excellent organizational, time management, writing and communication skills.

Must be detail oriented with strong follow up skills. Exceptional attention to detail.

Demonstrated knowledge and expertise in basic computer skills including MS office products (Word, Excel, Outlook, PowerPoint). Experience with Concur, and Coupa, are a plus.

Ability to think through, solve problems, and exhibit good judgment with clients, vendors, and staff.

Capable of working independently as well as in a team. Resourceful and creative self-starter.

We provide market-competitive compensation packages, inclusive of base pay, incentives, benefits, and equity. It would not be typical for someone to be hired at the top end of range for the role, as actual pay will be determined based on several factors, including experience, skills, and qualifications. The target salary ranges are listed.
Base Salary Range Region 1:$40 - $54
Base Salary Range Region 2: $34 - $46
