Seeking Office Administrator / Coordinator to assist in managing a portfolio of commercial properties in Atlanta. Responsible for coordinating with the property manager, tenants, vendors, and leasing agents.
Duties:
- Provide prompt response and follow through regarding tenant inquiries, problems, maintenance issues and complaints.
- Obtain bids for services required at the properties.
- Track Certificates of Insurance for both tenants and vendors.
- Work closely with Property Manager to coordinate maintenance requests from tenants.
- Assist with vendor and tenant coordination for service requests.
- Assist in weekly schedule for maintenance personnel.
- Contact tenants regarding rent step-ups and late payments.
- Reviewing and approving invoices - ensure all invoices match proposed amounts.
- Prepare new vendor form contracts and schedule re-occurring service tasks.
- Maintain a schedule of re-occurring service contracts by property.
- Manage the recurring manual billings (water, sewer, electric, etc.)
- Work in conjunction with the Property Manager fostering positive environment.
- Track new tenant’s from lease signing to tenant opening
- Answering phones
- Complete other special projects and duties as assigned.
Qualifications:
- Bachelor’s degree
- Strong desire to learn.
- High degree of initiative, independent judgment, and ethical conduct
- Strong analytical and problem solving abilities
- Effective interpersonal listening skills and positive attitude.
- Ability to work independently and collaboratively.
- Able to prioritize multiple projects under pressure and consistently meet deadlines.
- Strong attention to detail; organized.
- Strong verbal and written communication skills.
- Skilled use of computer, Microsoft Office, knowledge of Yardi (real estate software) a plus.
