Central Valley Training Center, Administrative Services is looking for a Administrative Office Assistant. We will provide extensive training to a dependable, professional, detail-oriented team player, who wants to start or enhance their accounting career with us.
Under the direct supervision of the Human Resources Manager, the Administrative Office Assistant is responsible for managing front office operations which provide support services to administrative services. The support services will consist of receptionist, general clerical, word processing/data entry and assisting Human Resources with other administrative tasks. The Office Assistant must maintain a required status as a confidential employee.
Essential Duties & Responsibilities snapshot:
- Receives, monitors and directs all incoming calls; takes messages; and communicate appropriate action.
- Answer routine inquiries regarding job openings and CVTC services.
- Greets all visitors; answers questions; and gives directions; provide applications for employment to prospective employees.
- Enters data into spreadsheets and HRIS system and completes all word processing requests.
- Process mail daily. Responsible for all outgoing/incoming faxes.
- Provides support to or serves as a backup for the Human Resources Records Clerk, including filing and/or scanning correspondence, data, and various personnel records.
- Maintains an organized, professional environment in the office and insures general upkeep
- Takes Notes and distributes for Administrative Staff Meetings.
- Provides support to or serves as a backup for the Human Resources Records Clerk, including assisting with the maintenance of the HR filing system and participating in audits of personnel files.
- Assists the Human Resources department in completing Verifications of Employment in a timely and accurate manner.
- Updates documents and checklists in the HRIS system including new hire orientation packets.
- Will assist with sending correspondence to applicants and employees.
- Assist in distributing written and/or testing materials used to interview applicants.
- Coordinate and accommodate the conference room and set up miscellaneous team meetings.
- Monitors compliance reports on a daily basis to ensure employee’s driver license and vehicle insurance are valid and in compliance.
- Send reminders in the HRIS system to employees and supervisors regarding past due documents.
- Maintain and distribute internal phone and site contact lists.
- Assist Administrative Services with daily reports and periodic reports as needed.
- On a weekly basis monitors maintenance of office equipment.
- Inventories and purchases office supplies as necessary.
- Update all forms when needed for master files.
- Maintain weekly management schedule and distribute.
- Assist accounting department with data entry tasks such as
- Will provide support to Human Resources Manager as assigned or directed.
- Support a positive team working relationship with a professional work ethic and attitude.
- Maintain Confidentiality.
- Perform other related duties as assigned.
Education Requirements: High School Diploma or equivalent; two years-experience in an office environment as a clerical assistant.
Requirements:
- Must possess a valid, California issued Driver's License, personal automobile liability insurance; a vehicle available for use daily; a driving record that meets the standards outlined in the Company's hiring policy.
- Must meet state personnel licensing standards
- Upon an offer, the successful candidate will complete a pre-employment physical, TB test, and drug screen (cost covered by CVTC), and a fingerprint background check (candidate will pay rolling fee up front).
Monday through Friday Schedule, 8:00AM - 4:00PM
