Responsibilities
- Responds to client emails within 1 hour of receipt.
- Open client orders when central processing is not available
- Reviews the Preliminary Title Report on both Refinance and purchase files. Knows how to review vesting, taxes and liens/judgements and know how to clear to close.
- Orders all payoffs when rushes are needed. This includes mortgage payoffs and lien/judgement payoffs such as IRS and tax liens.
- Funding Packages/Signed loan document packages: All assigned funding packages must be completed during the business day to be shipped out same day. Funding packages need to be completed accurately within 30 minutes of beginning the task.
- Purchase dashboard: The dashboard is the responsibility of the Escrow Assistant. All tasks must be completed prior to closing and follow up critical.
- As the Escrow Assistant becomes more proficient with processing, the assistant will learn the open to close process of the refinance accounts, with Escrow Officer guidance, and be responsible for maintaining customer service for these accounts and also learn to prepare estimates, funding conditions and balancing and disbursing files.
- Escrow Officer Assistance: The Escrow Assistant is responsible for assisting your designated Escrow Officer in the closing process. The Escrow Assistant should communicate with the Escrow Officer throughout the day. You are expected to remain flexible and jump in to help other teams as needed.
- Notary signings: The Escrow Assistant is encouraged to obtain their notary certificate and perform notary signings with clients in the office and outside after hours if available. Also when there is walk in clients. This is at the discretion of the Escrow Officer and the workload during that day.
Requirements
Basic Qualifications:
- High School diploma or GED required
- Minimum 3 years’ experience working with Microsoft Outlook, Word, Excel and Adobe Reader
- Minimum of 2 years in a client-facing closing role in the Escrow Industry
- Familiar with all concepts and procedures within the Escrow and Title Industry
Physical Demands
- This position requires sitting for up to 2 hours at a time
- Must be able to work at a computer with keyboard and mouse for 8 hours a day
- Some stooping, bending and lifting up to 25lbs.
- Must be able to read small print
