Job Title: Real Estate Services Administrator
Pay Range: $21.50 - $23.57/hr.
Location: Birmingham, AL 35209
Duration: 3 Months (Potential to go permanent)
Work Environment:
The Property Admin/Client Service Coordinator will support a dynamic team of brokers specializing in Industrial, Office, and Retail properties. In addition to supporting the brokers, this role serves as the main point of contact for the office, assisting with general office operations, including managing supplies and office access.
Experience & Education Requirements:
• Associate degree (A.A.) or equivalent from a 2-year college required.
• 3+ years of experience providing administrative support to multiple professionals or teams, with the ability to manage conflicting priorities.
• 2+ years of experience in the real estate industry (excluding real estate agent roles).
Key Requirements:
• Excellent comprehension and interpretation of instructions, correspondence, and memos.
• Strong writing skills for routine reports and correspondence.
• Professional communication skills to interact with clients, coworkers, and leadership.
• Ability to effectively present information internally to teams and departments.
• Knowledge of financial principles; ability to calculate percentages, discounts, and commissions, and conduct basic financial analysis.
• Ability to abstract lease documents and understand real estate-related documentation.
• Problem-solving skills involving multiple solutions or options.
• Intermediate to advanced analytical and quantitative skills.
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to edit templates in PowerPoint and basic familiarity with InDesign preferred.
• Strong marketing knowledge and attention to branding consistency.
Day-to-Day Responsibilities:
• Provide general administrative support to brokers and the office team.
• Prepare proposals, presentations, and communication materials.
• Coordinate internal and external distribution of marketing materials and information.
• Gather documentation to process broker commission payments in compliance with accounting policies and legal regulations.
• Maintain branding consistency across marketing materials, including flyers, tour books, maps, and property information packages.
• Serve as liaison with centralized marketing, analysis, and research teams to complete client deliverables.
• Organize responses for Requests for Information (RFIs) and Requests for Proposals (RFPs).
• Coordinate and schedule meetings, conferences, and travel arrangements.
• Update and maintain databases, generate reports, and assist with website updates if needed.
• Manage inventory of marketing materials and coordinate advertising schedules.
• Assist in additional administrative or marketing tasks as assigned.
Additional Information:
• No formal supervisory responsibilities.
• Expected to set personal project deadlines and deliverables according to company policies and best practices.
