Overview:
Wheeler Staffing Partners is seeking a professional, detail-oriented Recruiting Coordinator to support a dynamic and fast-paced remote Talent Acquisition team. This fully remote, contract-only role is ideal for someone experienced in coordinating virtual teams and handling high-volume recruiting activity with polish and professionalism. The initial contract term is 3 to 6 months, with the potential for extension based on evolving business needs.
This role will support 3 recruiters and 1–2 onboarding specialists, playing a crucial role in interview coordination, candidate communication, system updates, and reporting.
Key Responsibilities:
- Coordinate and schedule high volumes of interviews across multiple time zones, ensuring a smooth and efficient candidate and hiring manager experience.
- Support end-to-end recruiting operations, including documentation, process updates, and communication templates.
- Maintain up-to-date and accurate candidate records in the ATS (iCIMS) and Excel-based trackers.
- Communicate professionally with candidates, sending confirmations, reminders, and follow-ups as needed.
- Assist in offer letter preparation, background check processing, and onboarding documentation support.
- Collaborate closely with recruiters, hiring managers, and People Operations to ensure seamless workflows.
- Help optimize recruiting processes, systems, and tools during ongoing scaling efforts.
- Provide high-level administrative and coordination support to the Talent Acquisition team.
- Ensure strict confidentiality and professionalism in handling sensitive candidate data.
- Track basic recruiting metrics such as hiring volume, time-to-fill, and candidate pipeline status.
Required Skills and Qualifications:
- 1–2 years of experience in recruiting coordination, HR administration, or operations (high-volume or fast-paced environments preferred).
- Proven ability to work independently and effectively in a remote-first environment.
- Excellent communication skills—both verbal and written—with a polished, professional presence.
- Strong time management and multitasking skills, with exceptional attention to detail.
- Proficiency in Microsoft Excel (filtering, sorting, formulas) and experience managing spreadsheets and trackers.
- Familiarity with ATS platforms (iCIMS preferred) and collaboration tools such as Outlook or Google Workspace.
- A quiet and distraction-free remote working environment with reliable internet access.
Preferred Qualifications:
- Experience supporting remote recruiting teams or coordinating interviews across time zones.
- Familiarity with HRIS platforms like UKG.
- Experience with Slack, Monday.com, or other virtual collaboration tools.
- Understanding of basic employment practices and recruiting compliance standards.
