Position Overview
The Executive Administrative Assistant will serve as a vital support individual contributor to the Therapeutic Area Head for Neuroscience in R&D. This role involves executing a variety of administrative tasks, including guiding others, and ensuring the accuracy, timeliness, and quality of deliverables. This position is based in La Jolla, California. It may require up to 5% travel and adherence to the J&J Flex Policy, with an expectation to work in the office 3-4 days per week and remotely 1-2 days per week.

Key Responsibilities

Provide comprehensive administrative support to the Therapeutic Area Head for Neuroscience, facilitating their ability to lead effectively.

Manage the executive's schedule, including arranging meetings, appointments, and domestic/international travel logistics and reconciling expense reimbursements - heavy calendaring and travel experience required.

Willingness to extend working hours when necessary and travel occasionally for off-site meetings and events supporting the Therapeutic Area Head for Neuroscience.

Coordinate and plan global department meetings, celebrations, and external engagements, ensuring all logistical aspects such as venue bookings, catering, and audio/visual setups are handled.

Act as a liaison with senior management, internal departments, customers, and external agencies.

Handle incoming and outgoing communications with professionalism and integrity.

Prepare, draft, proofread, and edit business reports, documents, and presentations as required.

Support various departments in organizing company-wide events and initiatives as instructed.

Assist with candidate interviews and onboarding processes, managing logistics, schedules, and relocations where applicable.

Maintain updated contact lists and organizational charts, managing communications and relationships across all levels of the organization.

Prepare purchase orders and coordinate assignments for reporting teams, supporting task execution for accuracy and timeliness.

Organize and maintain electronic records for easy information retrieval and ensure compliance with J&J policies.

Execute additional duties as assigned to support the Neuroscience Administration unit effectively.
Qualifications
-
At least 10 years of experience as an executive assistant within a global organization is required.

A minimum of a high school diploma is required; a Bachelor’s Degree or equivalent is preferred, and certification in advanced secretarial practices is a plus.

Proficient in travel systems, procurement, HR, and expense reporting systems.

A proven sense of urgency and a proactive, can-do mentality are essential.

Attention to detail and sound judgment in problem-solving related to departmental tasks.

Ability to proactively identify and implement improvements for processes, workstreams and organizational effectiveness.

Excellent organizational and multitasking skills, with the ability to prioritize projects and meet deadlines efficiently.

Strong computer proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

The anticipated base pay range for this position is :
$69,000 - $111,000
Additional Description for Pay Transparency:

The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation’s performance over a calendar/performance year.
