Overview
To provide a variety of administrative support functions within respective business unit(s), in support of daily operations. Under supervision, may modify established processes and procedures to accomplish routine tasks. Evaluate and research inquiries from internal/external sources and/or members; respond to, resolve or arrange for resolution. May serve as contact coordinator by handling phone calls, directing visitor traffic and scheduling events/meetings. Completes work with limited degree of supervision. Likely to act as an informal resource for colleagues with less experience.
Responsibilities
- Monitor and respond to inquiries received through various media channels
- Collect, sort and distribute reports, correspondence, on-line messages and faxes
- Identify, investigate and resolve discrepancies/processing problems to include documentation and time-sensitive issues
- Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.
- Track and update action items in database(s)
- Complete data entry in automated systems; may generate reports
- Gather and prepare data for various financial, compliance and internal reports
- Review reports and data; take necessary action(s)
- Maintain manuals, instructions, charts and/or directories
- Act as liaison between business units in support of operational initiatives
- Operate and maintain standard office equipment
- Maintain and stock essential materials and supplies
- Serve as mentor/trainer and provide guidance and assistance to team members
- Provide input and make budgetary recommendations regarding staffing and equipment
- Perform other duties as assigned
Qualifications
- Has full proficiency gained through job-related training and considerable work experience.
- Experience in performing clerical or administrative duties/responsibilities
- Ability to maintain confidentiality and demonstrate integrity
- Ability to work independently and in a team environment
- Effective clerical, technical or administrative skills
- Effective organizational, planning and time management skills
- Effective skill presenting findings, conclusions, alternatives and information clearly and concisely
- Effective word processing and spreadsheet software skills
- Effective skill exercising initiative and using good judgment to make sound decisions
- Advanced skill following, interpreting and applying guidelines, procedures, practices, regulations
- Effective skill maintaining accuracy with attention to detail and meeting deadlines
- Effective skill performing mathematical calculations and working accurately with numbers

- Effective research, analytical, and problem solving skills
